Cost and billing

How much does VoxWin AI cost?

VoxWin AI costs $175 per month after you activate. Signing up, configuring your assistant, and testing it are free — no payment method required until you decide to go live. There are no per-call fees, no activation charges, and no costs beyond the monthly subscription.

Do I need a credit card to sign up?

No. You can create an account, build out your assistant, and test it for free without entering any payment information. A card is only required when you activate a real phone number to take live calls.

How do I cancel?

From the dashboard, any time. There's no cancellation fee and no minimum contract period. The service continues through the end of your current billing period, and we delete your account data within 30 days of cancellation per our Privacy Policy.

Setup and configuration

How does the AI learn about my business?

During setup, you complete an intake wizard that asks about your services, hours, service area, pricing approach, and how you want certain types of calls handled. VoxWin AI uses those answers to configure your assistant. You can update the configuration at any time from the dashboard without starting over.

What calendar do I need? Can I use Outlook, Apple, or Calendly?

VoxWin AI currently requires Google Calendar — either Google Workspace or a personal Gmail account. We don't yet integrate with Outlook, Apple Calendar, Calendly, or other calendar tools.

If you use one of those, submit a support ticket before paying and we'll evaluate whether we can add it. We'd rather hear from you upfront than have you pay for something that won't work for your setup.

Can I keep my existing phone number?

Not directly. Activation provisions a new phone number through our telephony provider. To use VoxWin AI with your existing number, you set up call forwarding from your current number to the VoxWin AI number. Most carriers support this natively, and it typically takes less than two minutes to configure.

Can VoxWin AI handle calls for a business that operates in multiple states?

Yes. You can specify a service area that spans multiple states. For most inbound service-booking calls, this is straightforward. Keep in mind that AI disclosure rules and telemarketing regulations vary by state, so if your callers are in jurisdictions with specific requirements, you may need to account for them. We provide disclosure language as part of setup.

AI and calls

Will callers know they're talking to an AI?

VoxWin AI introduces itself as a virtual assistant for your business. Whether additional AI disclosure is legally required depends on your state and the states of your callers — some states have specific rules for automated voice systems. We provide disclosure language as part of setup, and final compliance responsibility rests with you.

What if the AI gets a call wrong?

It will happen occasionally. No AI handles every call perfectly. You'll receive a full transcript of every call, so you can see exactly what was said and follow up with the caller if needed. You can also adjust your assistant's configuration to handle similar calls better next time. The more specific the configuration, the fewer edge cases you'll encounter.

Does VoxWin AI support languages other than English?

Not currently. VoxWin AI handles calls in English. Spanish support is on the roadmap but does not have a committed release date.

Compliance

Is VoxWin AI HIPAA compliant?

No, and it's not designed to be. VoxWin AI is built for trades — plumbers, electricians, HVAC techs, and contractors. It is not appropriate for use in healthcare settings where HIPAA applies. Do not use VoxWin AI to collect or handle protected health information.

Can VoxWin AI handle payment card information on calls?

No. VoxWin AI is not PCI-DSS compliant and is not designed to collect or process payment card data. If a caller attempts to provide card details, the assistant will not record them, but you should configure your assistant to direct payment-related calls to an appropriate channel.

Does VoxWin AI work for medical, legal, or financial businesses?

VoxWin AI is built for home-services and skilled trades - plumbers, HVAC technicians, electricians, contractors, landscapers, cleaning services, pest control, auto repair, and similar businesses where the call-to-booking workflow is straightforward.

We do not currently support businesses operating under industry-specific regulatory frameworks. This includes medical practices (HIPAA), legal services (attorney-client privilege), licensed financial advisors (SEC/FINRA), or insurance agents subject to state-specific call recording and disclosure rules. Adding compliant call handling for these verticals requires regulatory work we haven't done; until we do, please choose a service designed for your specific compliance needs.
